We collect the following types of personal information:

  • Contact Information — First name, last name, email address, and phone number provided when you submit a form, book a demo, make a payment, or RSVP to an event
  • Event Information — Event details, guest lists, dietary requirements, and event preferences provided through our Client Onboarding Form
  • Payment Information — Payment details processed securely through Stripe. We do not store credit card numbers on our servers
  • Guest Portal Data — Table assignments, seating information, drink orders, guestbook entries, and photos submitted through the guest portal during an event
  • Communications — Messages sent to us via email, SMS, or any contact form on our website
  • Usage Data — Anonymous data about how visitors use our website including pages visited and time spent
03 — How We Use Your Information

We use your personal information for the following purposes:

  • To deliver your Event Flo™ guest experience and personalized portal
  • To process bookings and payments for our services
  • To communicate with you about your event and service updates
  • To send SMS notifications related to your event including portal access links, reminders, and post-event follow up
  • To respond to your inquiries and provide customer support
  • To improve our services and platform based on usage patterns
  • To comply with legal obligations
04 — SMS Communications & Text Messaging

By providing your phone number to The Event Flo™ through any form, checkout, or registration on our website or platforms, you expressly consent to receive text messages (SMS) from The Event Flo™ and Azaria Systems LLC at the phone number provided.

SMS Consent & Opt-Out Information

Types of messages: Event portal access links, event reminders, pre-event updates, post-event follow up, and service-related notifications.

Message frequency: Message frequency varies per event. You may receive between 1 and 10 messages per event you are associated with.

Message and data rates may apply depending on your mobile carrier and plan.

To opt out: Reply STOP to any text message at any time to unsubscribe. You will receive one confirmation message and no further SMS will be sent.

Opting out of SMS does not affect your event booking, any services you have paid for, or your ability to receive communications via email.

We do not sell, rent, or share your phone number with third parties for their marketing purposes. Your phone number is used solely to deliver your Event Flo™ experience and related service communications.

SMS communications are sent through Twilio, a third-party SMS provider. Messages are sent in compliance with the Telephone Consumer Protection Act (TCPA) and A2P 10DLC regulations.

05 — How We Share Your Information

We do not sell your personal information to third parties. We may share your information only in the following limited circumstances:

  • Service Providers — We share data with trusted third-party providers who help us operate our business including Stripe (payments), Twilio (SMS), GoHighLevel (CRM), Netlify (hosting), and Anthropic (AI services). These providers are bound by data protection agreements
  • Event Hosts — Guest information including name, table assignment, and dietary requirements may be shared with the event host (couple or client) who booked the service
  • Legal Requirements — We may disclose information if required by law or to protect the rights and safety of our business and users
06 — Data Retention

Guest data — Names, contact details, table assignments, and event information for individual guests are retained for 90 days after the event date and then permanently deleted from our systems.

Client data — Contact information, event details, and payment records for clients who have booked our services are retained for 3 years for accounting and legal purposes.

Guestbook entries and photos — Stored and delivered to the couple as part of the post-event memory keepsake. Deleted from our servers within 90 days after the event.

Marketing inquiries — Contact details from demo requests are retained for 12 months unless you request deletion.

07 — Data Security

We take the security of your personal information seriously. We implement appropriate technical and organizational measures to protect your data including:

  • SSL/TLS encryption for all data transmitted to and from our websites
  • Secure third-party payment processing through Stripe — we never store card numbers
  • Access controls limiting who within our team can access personal data
  • Regular security reviews of our platforms and integrations

While we take every reasonable precaution, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security but will notify you promptly in the event of a data breach affecting your information.

08 — Your Rights

You have the following rights regarding your personal information:

  • Access — Request a copy of the personal information we hold about you
  • Correction — Request correction of any inaccurate personal information
  • Deletion — Request deletion of your personal information subject to legal retention requirements

09 — Cookies & Tracking

Our websites use minimal cookies necessary for the site to function correctly. We do not use advertising cookies or sell data to advertisers.

We may use basic analytics tools to understand how visitors use our website. This data is anonymized and does not identify individual users.

Our services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information please contact us immediately and we will delete it.
